Logistics & Contracts Coordinator

Location: Hybrid / Remote with occasional on-site event support
Type: Part-Time (3 days per week)
Salary: Competitive – dependent on experience

About the Role

We are looking for a highly organised Logistics, Advancing & Contracts Coordinator to support the delivery of our busy programme of events and festivals.

Our company promotes 2–4 club events each week alongside two large festivals each year, working with a wide range of artists, agents, suppliers and venues. This role is central to making sure every event runs smoothly by managing contracts, advancing and operational logistics.

This is an ideal role for someone with experience in event production, artist liaison, or festival operations who enjoys organisation, communication and keeping multiple moving parts running efficiently.

Key Responsibilities

Artist & Agent Coordination

- Issuing and managing artist contracts and deal memos

- Liaising with agents, managers and tour teams

- Managing artist advancing including tech specs, hospitality riders, and schedules

Event Logistics

- Coordinating travel, accommodation and transport for artists and key staff

- Preparing and distributing event advance packs and schedules

- Supporting the organisation of site logistics and operational planning

Supplier & Operations Administration

- Managing contracts and documentation for suppliers and partners

- Maintaining event paperwork and internal planning documents

- Supporting the production team with logistics tracking and timelines

General Event Administration

- Ensuring all documentation is accurate and delivered on schedule

- Maintaining clear communication across production, marketing and operations teams

- Helping ensure events are fully advanced ahead of show day

What we’re looking for

- Strong organisational and administrative skills

- Experience working in events, festivals, nightlife or live music (preferred)

- Confidence communicating with agents, artists, venues and suppliers

- Ability to manage multiple events and deadlines simultaneously

- Detail-oriented with strong document management skills

- Comfortable working in a fast-paced events environment

Ideal Experience

- Artist advancing or tour management support

- Festival or club event production

- Contract administration

- Logistics coordination (travel, accommodation, transport)

Working Pattern

- 3 days per week (part-time)

- 2 days office based in Edinburgh & one remote.

- Flexible working structure with some busy periods around festivals and major events.

- This will include occasional evening & weekend work
